PERSUIT's Matter Intake gives legal teams a structured, configurable framework that ensures every new matter is sourced in alignment with the organization. Capture the right information up front to surface guidance on whether to run a competitive RFP or keep the work in-house so every decision is grounded in your organization's context from day one, with no guesswork.

Navigating to Matter Intake
There are two ways to navigate to Matter Intake: the homepage and the navigation pane.
In the homepage, you’ll find a feature card at the top that says Create New Matter. From here, you can either View Your Matters or Start a New Intake process.
In the navigation pane to the left of any page, you’ll see a Matters option. Click this to take you to the Matters page.
Creating a New Matter
After you start a new matter, the New Matter window will appear.
First, you’ll need to find the appropriate form for your matter. The form will ensure the right details will be captured. Your organization can create custom forms (LINK ARTICLE) for different types of scenarios like practice area or jurisdiction. If your organization doesn’t yet have any custom forms, there is a PERSUIT Default Matter Intake Form.
Select Preview Form on the form you’d like to move forward with.
After reviewing the form in the preview screen, press Back to select a different form or press Continue to AI Pre-fill to continue the process. If your organization does not have AI Pre-fill turned on, then you will be taken directly to the matter intake form for manual completion.
Note: To enable AI Pre-fill, Matter Intake, or any other feature for your group, use PERSUIT’s Feature Management to control feature access.
If your organization has enabled AI, the next screen will allow you to determine if you’d like AI to assist with populating the form through the Use AI pre-fill for this matter toggle. If the toggle is blue, AI will be enabled but if the toggle is gray, you’ll need to fill the form out manually. Press Describe Matter to move on.
In the Describe Matter page, you’ll be able easily use plain language to describe the details of this matter in the Matter Description text box. You can provide high-level details on matter type, location, key deliverables, and outcomes you are seeking.
Note: the Describe Matter page is only available if your organization has AI pre-fill turned on. If not, you will be taken directly to the matter intake form for manual completion.
Next, provide your best estimate of the total cost for this matter.
Lastly, and optionally, you can upload any files and relevant documents (e.g., a complaint) to help PERSUIT accurately assess the matter. Any files you attach are confidential and won't be shared externally.
Once the matter has been described, click Review Details to move forward.
The AI Pre-fill will review your matter description and uploaded files to automatically fill in the matter intake form.
In the Confirm Details page, review and complete the intake form’s sections and fields that have been auto-filled. Edit the fields as needed.
Note: If AI Pre-fill is not enabled, you'll need to complete this page manually to provide context and details for your matter.
Press Next: Recommendations to move forward.
This Recommendation page will recommend the best sourcing options based on the details you’ve provided. In this example, it’s recommending us to handle this internally.
Once you select any of the recommendations, the Matter Intake process will be considered complete and will be saved to your Matters page.
You can either View All Matters or follow the recommended next steps based on the chosen option. In this example, it’s to share this matter with your colleagues.
The three possible recommendations are:
- Draft an RFP - Choose a template or let AI generate a first draft based on your matter details, then review and send to your chosen firms.
- Engage with Firm(s) Directly - Browse your firm directory to find and select the right firm for this matter, then proceed without running a competitive RFP.
- Handle Internally - This matter will be managed by your internal team. Your program team has been notified and will take it from here.
Viewing the Matters Page
In the Matters page, you’ll be able to view all the matters you have access to with high level information from the Matter ID, if an Internal Contact is involved, the matter Status, and more.
There’s a My Matters tab which shows the matters you have created.
There’s also an All Matters tab which shows all the matters your colleagues have created.
Edit an Existing Matter
Existing matters can be edited at any time.
Find the matter you want to edit and click the three vertical dots at the right. The menu will appear and you’ll see several options.
Create RFP
This will direct you to the How do you want to begin your RFP? page to figure out the best way to craft your RFP. You can use our AI Smart Scoping feature, if enabled for your organization, or you can view your template library.
View/Edit
This will take you back to the Matter Intake form for this matter. This is where you can adjust any of the fields within this form.
From here, you can also find a navigation bar at the bottom of the page. You can delete the RFP from here with the Delete button.
With the Link RFP button, you can link an existing RFP to this matter, if needed. The Link a Request window will appear where you can select the appropriate RFP to be linked to this matter.
Next is the Preview button where you can preview how the form looks in its current state.
The Share button allows you to share the matter with your colleagues.
The last option in this navigation bar is the Create RFP button which will take you to the How do you want to begin your RFP? page.
Link RFP
This will open the Link a Request window. You’ll be able to link an existing request to this specific matter.
Share
Use the Share button to share this matter with colleagues. Like requests, matters are only visible to users who created them or have been given direct access.
Close Matter
At the end of a matter, you can mark matters as closed. To do this, use the Close Matter button. Matters can always be reopened after marking them as closed.
Delete
If you need to completely delete and remove a matter, use the Delete button. This action is irreversible.
