The PERSUIT platform allows you to withdraw (or cancel) any published request that is in the green “Open to Proposals” or yellow "Evaluating" status.
Why is this important for your organization?
- Improves your data accuracy and reporting by removing requests that are no longer relevant. For example: Agreed spend; Savings estimations; Firms' win % rate.
- Provides clarity to firms on where they stand and why they didn't win the opportunity.
- Reduces unnecessary effort on work that will no longer proceed, also keeping your RFP home dashboard tidy so you can focus on seeing out genuine requests to completion.
When should I use this feature?
Reasons for withdrawing a request include:
- No longer required
- To be sourced internally, and you no longer seek to instruct outside counsel
- NB this is the recommended request classification, rather than 'completed + no firm selected'
- Sent in error
NB there is no request status for "on hold". In this instance, we recommend leaving the request in evaluating.
How do I withdraw a request?
Click the Manage Request button found at the top of the request.
When the Manage Request pop-up expands, click Withdraw Request.
In the next step of the request withdrawal process, you must provide a reason for the withdrawal to proceed. This can be done by using the available dropdown menu and selecting a reason.
After selecting the reason, you have the option to notify the firms about the request withdrawal and provide a courtesy message. Use the checkbox and text box as required.
Press Next to move onto the confirmation screen.
The final step to withdraw a request is to review and confirm the actions set. Once done, press Confirm to finalize withdrawing the request.
You will know that the request has been withdrawn successfully when you see the updated request status “Withdraw” in gray and the Progress bar on the right of the screen will have updated language "Request withdrawn".
Note: once a request has been withdrawn, it cannot be reopened.
