Whether you want to adjust the proposal deadline for providers, or reschedule the reverse auction, timeline changes can be made even after a request has been published (depending on its current status).
This relates to when a request is in one of the following scenarios:
-
"Open to Proposals": Update the Proposal and Auction timeline
-
"Evaluating" stage without a scheduled auction: Update the Proposal deadline
-
"Awaiting Auction" stage: Updating the Proposal and Auction timeline
-
"Evaluating" stage and the scheduled auction has already passed (updates not possible)
"Open to Proposals": Update the Proposal and Auction timeline:
If your request is "Open to Proposals" and the proposal deadline or the auction start time and duration for your request needs to be updated, start by clicking Edit Request in the top navigation bar.
When the Edit Request pop-up expands, you will find the option to Change timeline.
Next, you can change the RFP's Timezone, Proposals due date, Auction start date and Auction end date. When you've finished making changes, click Next.
Review your changes before clicking Confirm to move onto the Review and Confirm screen to finalize the process.
You'll know you've successfully updated the request's timeline when a clarification has been posted to your request, which everyone with access to the request will be able to view. Firms will also receive an automatic email notification alerting them of the timeline change.
"Evaluating" stage without a scheduled auction: Update the Proposal deadline:
If your request is in the "Evaluating" stage and does not have a reverse auction set, you can update the proposal deadline for all invited firms.
Click the Edit Request button in the top navigation bar.
You'll see the Change due date option in the Edit Request pop-up.
Next, the proposal timeline editor allows you to adjust to the proposal due date. Once you've adjusted the date and time, click Next, then confirm your changes on the following screen.
The proposal deadline will have been successfully updated when you see the status of your request change from "Evaluating" to "Open to Proposals" and the clarification has been posted to your request with the new deadline.
To add an auction to requests that have been published that did not originally have an auction scheduled, please view this article for more information.
"Awaiting Auction" stage: Updating the Proposal and Auction timeline:
If your request is in the "Awaiting Auction" stage, meaning that the proposal deadline has passed but the reverse auction has not yet begun, you can update the timeline of the reverse auction only. You cannot update the proposal deadline.
To update the auction timeline, click the Edit Request button in the top navigation bar.
Choose the Change timeline option.
On the next screen, you'll find that you can only update the Timezone, Auction Start Date/Time and the Auction Duration. After making any changes, press next to move to the confirmation screen to finalize the process.
Any updates that are made will be posted as a clarification at the top of the request and firms will receive corresponding email notifications.
To update the proposal deadline while a request is in the "Awaiting Auction" stage, follow these steps as a workaround:
- Cancel the reverse auction. See this article for more information.
- Once there is no reverse auction tied to the request, update the proposal deadline using the process explained previously.
- Reschedule the reverse auction. This article explains how to add a reverse auction to an existing request.
"Evaluating" stage, but the scheduled auction has already passed:
Unfortunately, once a request's proposal deadline and reverse auction timeline has passed, there is no way to update the timeline of the request.
