You can withdraw (or cancel) any request that is in the green “Open to Proposals” or yellow "Evaluating" status.
Why should I withdraw rather than leave it open?
- Improves your data accuracy and reporting by removing requests that are no longer relevant. For example: Agreed spend; Savings estimations; Firms' win % rate.
- Provides clarity to firms on where they stand and why they didn't win the opportunity (i.e. that no firm actually won it).
- Keeps your home dashboard focused on live work and avoids ageing requests building up over time. This allows you to focus on seeing out genuine requests to completion.
- Provides a cleaner point-in-time reset if the request may need to be relaunched with updated scope, timing, pricing, or participants.
When should I use this feature?
Reasons for withdrawing a request include:
- No longer required
- To be sourced internally, and you no longer intend to instruct outside counsel. This is the recommended request classification, rather than "completed + no firm selected"
- Sent in error
- The request is paused for an extended period and may be relaunched later with updated timing, scope, pricing, or participating firms.
Should I withdraw the request or leave it in Evaluating?
If a request is temporarily paused but still likely to progress soon, leaving it in Evaluating is fine.
However, if it is unlikely to progress for an extended period, or if the scope, pricing items, assumptions, timing, or participating firms may change, we recommend withdrawing the request and reissuing a duplicate when you are ready to proceed. You can use the withdrawn request as a template, keeping the same structure and updating only what has changed.
Note: there is no "on hold" status in PERSUIT. Evaluating is the closest equivalent for short pauses; for anything longer, withdraw and relaunch.
How do I withdraw a request?
Click the Manage Request button found at the top of the request.
In the expanded popup, click Withdraw Request.
Select a reason for the withdrawal from the dropdown menu.
You then have the option to notify the invited firms and include a courtesy message explaining your decision. Use the checkbox and text box as required, then press Next.
Finally, review the summary, and Confirm.
You will know that the request has been withdrawn successfully when you see the updated status “Withdraw” in gray and Progress bar on the right of the screen.
