PERSUIT allows you to control which team members are authorized to publish requests. While all users can draft requests, limiting publishing and sending capabilities to approved users helps ensure consistency, compliance, and alignment with your business.
In this article, you’ll learn about:
- Navigating to the Request Approvals Page
- Enabling/Disabling Request Approvals for your Group
- Receiving Email Notifications for Approval Requests
- Submitting Requests as a Request Approver
Note: Only users with Group Manager access can manage Request Approvals for the group. If you don’t currently have access but would like it, please reach out to your internal PERSUIT Group Manager(s).
Navigating to the Request Approvals page
To navigate to Rules & Governance, go to Settings found in the expanding main menu to the left of any page
Click Rules & Governance in Settings
Once in the Rules & Governance page, head to the Request Approvals section.
Enabling and Disabling Request Approvals
You’ll see a toggle that says Require Approval Before Publishing. When this toggle is turned on (blue), all requests will require approval before being published, and standard users will be unable to publish requests on their own. If the toggle is off (gray), standard users will be able to publish requests themselves without approval.
Assigning Request Approvers
After enabling the Request Approvals feature, you’ll be able to assign any existing user in your organization to be an approver on behalf of your group. To do so, use the Select Approvers drop down. A complete list of users in your org will be available for you to choose from. Any user can be selected as Request Approver but we recommend selecting users that have Auto-Share access. Learn more about setting permissions for your users, please view this article here.
Press Save when ready to finalize the Request Approvers.
Receiving Email Notifications for Approval Requests
If a user in your group drafts a request and submits it for approval, the designated Request Approvers will receive an email notification to alert them.
Note: Request Approvers must have the Collaboration setting toggled on in their Email Preferences to receive Request Approval emails. View this article to learn more about email preferences.
How Request Approvers Review and Submit Requests
At the top of the request draft awaiting review, the Request Approver will see an Approve & Send button.
The Request Approver can review the full draft and, if they have any questions for the request creator, communicate through the Internal Messaging channel. Once the draft is ready for approval, they can click Approve & Send to send it.
You’ll also be able to view the submitted request within the request library at the bottom of your homepage.
