PERSUIT's External Collaborators feature allows consultants from outside of your organization to seamlessly input on tasks such as drafting matter requests, reviewing proposals, or analyzing data insights, all while keeping client data secure and protected.
What This Means for In-house Organizations:
- Greater Autonomy: manage external collaborators in a dedicated interface. This could be your PERSUIT account team, or external partners, granting them [selectively partial] access to your PERSUIT instance, with no requirement for SSO access via your IT team.
- Enhanced Security: Every data access event, including impersonations, is logged in real time.
- Audit-Ready Compliance: maintain clear records of who accessed what and when, helping meet legal and internal security requirements.

NB this is managed at a group level, so will need to be repeated for organizations that have activated Groups and Teams and split out separately.
How do I add an External Collaborator?
First, navigate to Settings in the expanded main menu.
Note: if you do not see Settings, this means you do not have Group Manager access. Please reach out to support@persuit.com. If you would like access, cc'ing another Group Manager for approval.
Click on User Access.
In User Access, click on External Collaborators.
You'll be directed to the Manage Access tab of External Collaborators. At the top, to add someone, you'll simply need their email address. This can be any email address domain that is not authorized as part of your organization, which removes a previous blocker for organizations using SSO.
Below, you'll find all existing and newly added External Collaborators.
Note: Your PERSUIT CSM and additional PERSUIT support team is automatically added to your organization. PERSUIT Admins appear by default. They can be disabled (or re-enabled) at any time, but they cannot be deleted off of your external collaborators list.
How to Assign Permissions and Teams
For each individual external collaborator added, you’ll be able to assign their team and user permissions via the dropdown.
Available Permissions for External Collaborators:

Consultant Role - Standard user privileges.
- This includes creating net new requests, being shared on existing requests, plus accessing any features in the left hand sidebar that a standard user has, such as Firm Profiles. Selective restriction per feature is not possible.
- A Consultant would not have any of the following:

Insights Access - Allows viewing of your analytics dashboards to inform data-driven strategy.
Please note they will not have access to the Price Benchmarking feature (unless they are a PERSUIT team member). - Template Access - Allows browsing of your request templates to provide more tailored and effective guidance.
- Organization Manager - Grants admin-level access, including managing your settings.
- Auto-Share - Automatically grants access to all future requests, for visibility and continuity.
How can I share all historical requests with an External Collaborator?
This provides access to all past requests your organization has created. This helps ensure full visibility that can streamline historical context and support.
Note: once enabled, this setting is permanent. Historical shared requests cannot be revoked.
In the Permissions dropdown for each external collaborator, the Share Historical Request(s) option lives at the bottom of the list.
A confirmation popup confirms the action of sharing all historical requests.
A green popup at the bottom of the page will confirm that this has happened. The external collaborator will now be able to access all requests within their own dashboard.
How to Share an Individual Request(s) with an External Collaborator
This is done in exactly the same way as sharing a request with a colleague, using the Share button at the top of a request - see here for detailed instructions.
How do I remove an External Collaborator’s access?
Simply press the Trash/Delete icon found in the Actions column at the right of the table. Once removed, they will no longer have access to any requests from your organization.
How do I use the Audit Log?
At the top of the External Collaborators page, you’ll find a tab called Audit Logs. This is a real-time log tracking all external access activity, including each time an external collaborator accessed your organization, and the history of when their access was granted or removed.
