Importing the Rate Card Excel Export
Note: this template and importing feature only applies to rate cards in Rate Review Pro. This does not apply to the Individual Timekeepers section.
Setting Up the Rate Card before Downloading
We recommend setting up the desired rate cards in the proposal before downloading the Microsoft Excel Export template.
To set up the rate cards, navigate to the Rate Card section below the Excel Import Manager.
Fill out the filters at the top of the rate card: Country, State or City, Currency and Practice Area. For more information about rate cards, you can view this article here.
Multiple rate cards can be set up and when exported, all information from the separate rate cards will live in a single Microsoft Excel spreadsheet.
Downloading the Rate Review Pro Rate Card Export
At the top of the Rates section, you’ll find the Excel Import Manager section.
Note: For more information on how to begin the process and create a full proposal for a Rate Review Pro request, please view this article here.
Press Export. When the Export Rates window opens, we recommend selecting the Export Rates option if you have set up rate cards beforehand. This will populate all your selected filters within the Excel export.
The Download Template option provides a blank template with the appropriate columns allowing users to populate the file from scratch if needed.
Filling out the Rate Card Export
In the downloaded Excel export, you’ll see the different columns pulled from the rate card(s).
The Country, States or cities, Practice Areas, Currency, Timekeeper and Enabled columns may automatically be populated depending on the set up of the rate card before export.
The remaining columns of Last Years Hours Billed, Current Rate, New Standard Rate and Proposed Rate will need to be populated by your firm.
While the Timekeepers and Enabled columns will automatically be populated with the information from the request, you’ll find that all the listed Timekeepers will have a corresponding Enabled column that has been filled out “Y”. The Y means Yes and that you will be providing rates for that timekeeper.
To turn this off in the rate card, you can change the field to “N” as in No to proposed rates for that specific timekeeper. The row of any timekeepers marked as N do not need to be filled.
Fill out the entire Rate Card export Excel and include all the information necessary for your proposal.
If you need more information regarding the Rate Card itself, please view this article here.
Importing the Rate Card Export
When you have finished filling out the Rate Card template, you can upload it back into your PERSUIT Rate Review Pro proposal.
In the Excel Import Manager section, you’ll find and press the Import button.
Attach the completed Rate Card Excel template. Press Import again to confirm.
Note: You can only upload one rate card Excel per Rate Review Pro proposal. If you try to upload an additional Excel, the rate card template previously uploaded will be overridden and replaced by the newest uploaded template.
The rate cards you previously set up will automatically be filled with the information from the Excel export.
If there are any errors within the Excel export, the errors will be flagged. In this example below, you’ll see that an Invalid Timekeeper due to an empty cell was included in the Rate Card. You can continue to import which will leave the impacted field blank for you to manually fix in the platform.
You can also Cancel the import which will allow you to fix your mistake within the Excel export before re-uploading.
After you’ve finished reviewing and editing the rate cards created by the rate card template, you can continue completing the rest of your Rate Review Pro proposal.
