Groups and Teams
Overview
We’re now able to support the creation of Groups and Teams within an Organization on PERSUIT. Being able to organize the PERSUIT instance into major functions within an organization with Groups (Legal, Procurement, Technology, Finance, Marketing, etc.) and Teams (M&A, Litigation, IT, etc.), allows for a tailored platform experience for our users and provides the ability for our customers to make PERSUIT available to more areas within their organization.
Let’s take a look at an example organization called Acme Co:
- A Group will be a function like “Legal” with its own Manager for that group. In most of our customers today, this is typically the PERSUIT Program Manager. Other Groups could be “Procurement” and “Marketing” with their own Managers from those departments.
- A Team can be the “Litigation Team” or “M&A Team” that exist within the Legal Group.
One of the key highlights of this release is that auto-share can now be set up for specific users so that they are auto-shared for all requests within just their specific Team. Previously, if a user was auto-shared, it was for any RFP created across the entire organization. Now, it can just be at the Team level (i.e. Litigation Team only).
Enabling Groups and Teams
- On the release of this feature, we will do all the work to setup your first Group and Team. No additional training is required.
- All customers will have a Legal Group and Legal Team created for them, firms will have a Default Group and Default Team created, all users and existing RFPs will be moved to these teams.
- When a customer or firm is ready to add new Groups and Teams, please reach out directly to your PERSUIT Customer Success Manager.
Key New Functionality
- Groups can now be configured with their own settings such as group name, preferred currency, custom tracking fields, savings method and diversity objectives.
- Insights is now specific to the Group, offering departments like legal, procurement, marketing, IT, etc. their own view of their data.
- Groups have their own Managers who are now the only ones able to change the settings of their Group.
- Users now belong to a Team along with any RFPs that they create.
- Greater Auto-Share flexibility now allows a user to receive (or not receive) auto-share from one or many teams within a group. Super helpful for allowing a user to only be auto-shared on, say, all of the Litigation Team’s requests but not all of Legal Group’s requests.
- Users can share their RFP internally with any user in another Team without the user needing to be part of their Group or Team. This promotes cross-functional collaboration at an a RFP by RFP basis across the organization.
What's Coming in the Future?
- User management: Today, users cannot manage their own groups and teams, only the PERSUIT admin (CSM) can, for now.
- Multi-group membership: Users can only be a member of one Group and one Team.
- Organization-wide Insights: Insights is separate per group - so a user with Insights access for one group will not have a way to “roll up” insights from other Groups to see then combined at Organization level.
- Team-level Insights: In the future we can create custom views for teams, especially insights at the Team level and filtering for templates by team.
